SportzTrakr ("we," "our," or "us") is a mobile and web application designed for youth sports officials, players, and families. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our application and website at sportztrakr.com.
When you create an account, we collect your name, email address, and optional phone number. If you sign up via Apple or Google, we receive your name and email from those providers.
You may provide additional information such as your role (referee, player, parent or guardian, coach), team affiliations, and sport preferences.
We store game schedules, assignments, availability, and related event data that you create or import into the app.
We collect standard analytics data including device type, operating system, app version, and usage patterns to improve the service. The app also records app sessions for analytics, with text you type and images hidden. We keep these recordings for 30 days and never use them for advertising.
We use your information to:
SportzTrakr sends two kinds of text message. Twilio, our text-message provider, sends both.
Message frequency varies with how many offers and assignments you have. For an offer you may get the offer, a reminder when 24 hours are left, and a final reminder before it closes. For an assignment you may get reminders when 24 hours and 1 hour are left to respond. Message and data rates may apply. Reply STOP to a SportzTrakr text to stop texts from that number, or reply HELP for help; reply START to start them again. After you reply STOP, the setting in the app turns itself off the next time we try to text you, and you can turn it on again when you want texts. You can also turn off "Text (SMS) Notifications" in the app at any time. Agreeing to receive these texts is not a condition of using SportzTrakr: the same notifications still come as push notifications, and game offers also by email.
Mobile information (phone numbers and SMS opt-in data) is never sold, and is never shared with third parties or affiliates for marketing or promotional purposes. Your phone number goes only to Twilio, to send our texts. No mobile opt-in data is sold, rented, or shared with any other party for any purpose.

We use the following third-party services. Each receives only what it needs for its job:
Requests that a parent, coach or referee makes to our AI features can include the names, numbers or roster photos of children. These are used only to carry out the request.
As our AI features move from Google Gemini to Anthropic's Claude, photos Claude can't process (for example, very large images) may still be processed by Google Gemini until the last AI feature moves, including photos from teen accounts.
These providers have their own privacy policies governing how they handle data.
We retain your account data for as long as your account is active. You can request deletion of your account and associated data at any time by contacting us at support@sportztrakr.com. Step-by-step instructions, and what is deleted and what is kept, are on our account deletion page.
We implement industry-standard security measures including encrypted data transmission (HTTPS/TLS), secure password hashing, and access controls. However, no method of electronic transmission or storage is 100% secure.
SportzTrakr is designed to be used by families, including parents or guardians managing accounts on behalf of minor children. We do not knowingly collect personal information from children under 13 without parental consent. Parent or guardian accounts manage child profiles. A parent's, coach's or referee's requests to our AI features can include the names, numbers or roster photos of children, used only to carry out the request (see section 5). Children under 13 can't sign in; a parent manages their profile. We record app sessions for everyone, including children, to find bugs and improve the app. Text you type and images are hidden in these recordings. They're kept for 30 days and never used for advertising.
You have the right to access, correct, or delete your personal information. To exercise these rights, contact us at support@sportztrakr.com.
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page with an updated date.
